Mail Merge in MS Word - Linking Word docs to JRMS

MS Word 97 to 2003 required

Once you link your word documents with JRMS using the mail merge feature you can edit your document any way you like and add JRMS fields that will be populated by the JRMS database once JRMS is open and on the "Court Forms & Letters" Screen. To start creating your own word files follow the next steps.

IMPORTANT LAUNCH JRMS BEFORE YOU START! WHEN WORKING WITH WORD MAIL MERGE FEATURE IT IS IMPORTANT TO ALWAYS HAVE JRMS RUNNING IN THE BACKGROUND AND THE "COURT FORMS & LETTERS" SCREEN OPEN AS WORD FETCHES DATA FROM THIS PARTICULAR FORM.

In Microsoft Word 2000
Prior to starting the process Go to Options>General and make sure the following box "CONFIRM CONVERSION AT OPEN" is checked.

  1. Open your word document (blank or existing)
  2. Click on display > toolbars > mail merge
  3. Click on Tools>Mail Merge.
  4. The mail merge helper screen opens with 3 main steps. Step 1 Click on Create>Form Letters
  5. Select Active Window in the dialogue box
  6. Step 2 Click on Get Data>Open Data Source.
  7. MAKE SURE THE SELECT METHOD BOX IS CHECKED Browse your hard drive and select the file JRMSDAT.mdb click on OPEN
    (JRMSDAT.mdb is located in your default install path C:\Program Files\JRMSV1PRO)
  8. The confirm data source dialogue box opens. Choose MS Access Database via ODBC and click on OK
  9. The Select Table pop up window appears. Select the table named MAILMERGE and click on OK
  10. Close the mail merge helper window
  11. Click on the <<ABC>> icon to go from field names view to actual data view. You're all set.

In Microsoft Word XP to 2003

  6. The Select Table pop up window appears. Select the table named MAILMERGE and click on OK
